What a good resignation letter contains
A resignation letter is a short, formal record — not the place to explain every reason you're leaving. Keep it to a few lines and these four things are all it really needs.
- A clear statement that you are resigning, and the exact job title you're resigning from — so there's no ambiguity on the record.
- Your last working day, spelled out in full, so HR and your manager can plan the handover and your final pay.
- A brief, genuine thank-you. Even if you're leaving unhappy, one line of goodwill protects your reference and your network.
- An offer to help with the transition during your notice — handing over work or training a replacement — which is what managers remember.
How much notice to give, and what to leave out
The letter is the easy part. These are the conventions that actually matter when you hand it in.
- Two weeks' notice is the standard minimum in the US for most roles. In the UK, Europe, and much of the world your contract sets the period — often one month, and up to three for senior positions. Check your contract before you pick a date.
- Tell your manager in person or on a call first, then send the letter to confirm it in writing. A letter should never be the way your boss finds out.
- Keep the reason vague or leave it out. "I've decided to move on" is enough — you are not obliged to explain, and detailed criticism belongs in an exit interview, not a permanent document.
- Leave out complaints, salary disputes, and anything emotional. The letter can be read by HR, your manager, and anyone they forward it to, and it may sit in your file for years.
- Address it to your direct manager, date it, and keep a copy for yourself. If your company uses an HR system, you may need to submit it there as well.
How to resign professionally
A resignation is one of the few moments a whole career can hinge on. The letter sets the tone, but how you leave matters just as much.
Do
- Give at least the notice your contract requires, and more if a handover genuinely needs it.
- Tell your manager before anyone else, and before you tell the wider team.
- Offer a clear handover plan — documents, contacts, and open tasks written down.
- Stay positive and reliable through your last day; your reference is written from these final weeks.
Don't
- Don't vent, criticise colleagues, or list grievances in the letter.
- Don't announce it on social media before the people affected have heard from you.
- Don't coast or burn bridges — a world that feels large is often very small within an industry.
- Don't skip the notice period unless your contract or situation truly leaves no choice.

A resignation letter in four rules
- State that you're resigning, and from which role — in the first sentence.
- Give one clear last working day, worked out from your contract's notice period.
- Thank them in a line and offer to help with the handover.
- Keep reasons and complaints out of it — the letter is a record, not a review.

How to write a resignation letter
A resignation letter is a short, formal document that tells your employer you are leaving and when. It does three jobs: it states clearly that you are resigning and from which position, it gives your last working day so the company can plan your notice and final pay, and it leaves a record both sides can refer back to. It is not the place to explain in detail why you're leaving or to air any frustration — those conversations belong face to face or in an exit interview. The best resignation letters are a few lines long, polite, and specific about the date.
Before you send it, speak to your manager directly, then use the letter to confirm it in writing. Work out your last day from the notice period in your contract — two weeks is the common minimum in the US, while a month or more is standard in the UK and much of Europe. However you feel about the job, keep the tone warm: the manager you resign to today may be a reference tomorrow. Once the letter is in, the next step is the job search — the cover letter generator drafts a letter tailored to each role, and you can build or refresh your resume free in minutes.
Is this resignation letter generator free?
Yes. Writing the letter, copying it, and downloading the PDF are all free, with no signup. The letter is assembled in your browser as you type — nothing you enter is saved or sent anywhere except the final step that renders your PDF.
How much notice should I give?
In the US, two weeks is the standard minimum for most roles. In the UK, Europe, and many other countries your notice period is set by your contract — commonly one month, and up to three months for senior positions. Always check your contract, and give more notice than the minimum if a proper handover needs it.
Should I say why I'm leaving?
You don't have to, and in most cases it's better not to. A line like "I have decided to move on" is enough. A resignation letter can be read by HR and stay in your file for years, so keep reasons, complaints, and anything emotional out of it — save honest feedback for an exit interview if you want to give it.
Who should the letter be addressed to?
Address it to your direct manager, and tell them in person or on a call before the letter arrives — a resignation letter should confirm the news, not break it. If your company uses an HR system, you may also need to submit a copy there.
Can I edit the letter after I download it?
Yes. Use the "Copy" button to paste the text into an email or a document and adjust anything you like, or download the PDF and keep it as is. Everything the tool produces is yours to change.
